Half of doula work is care. The other half is admin: inquiries, consults, contracts, deposits, payment plans, on-call calendars, and postpartum shifts. Most doulas start with a patchwork of free tools and switch to dedicated software somewhere around their fifth or sixth client, usually the week a deposit slips through the cracks.
This guide compares the business tools doulas use most, what each costs, and who each one is right for.
What a doula business tool needs to do
Generic small-business software covers the basics. Doula work has a few needs that most tools don't plan for:
- Inquiry to client pipeline. Track leads from first contact through the consult to a signed contract.
- Contracts with e-signature. Your service agreement, signed on a phone, without printing anything.
- Deposits and payment plans. Families often spread a birth package over months. Automatic installments save you from sending reminders one at a time.
- On-call scheduling. Birth doulas carry an on-call window around each due date. Postpartum doulas schedule overnight shifts that cross midnight.
- Intake forms and birth or postpartum plans. Collect what you need before the first prenatal visit.
- Team coverage, if you're not solo. Collectives and agencies need to see every client across the team, who's on call, and who covers whom.
- A good experience for your client. Everything she has to sign, pay, fill in, or book should be easy to find, ideally in one place.
- Payment fees you can live with. On a $2,000 package, subscription cost and processing fees both add up.

Cradled
Best for: birth and postpartum doulas, from solo practices to collectives and agencies, who want the business tools and a way to support clients between visits.
Cradled was built by a working doula (a registered social worker and certified birth and postpartum doula) for her own practice. It runs on the web and as a native iOS and Android app.
What makes it different: your client is connected
Every other tool on this list sends your client emails and links to a portal she'll visit a few times. Cradled gives her an app she opens every day for her own pregnancy and postpartum, free once you connect her, and everything you do for her shows up there in one place:
- Appointments: she sees what you've booked and can book her own time from your real availability. She and her partner get reminders the day before and an hour before.
- Contracts: she reads and signs your agreement in the app, and her partner can co-sign.
- Invoices and payment plans: she sees what's due and how far along her payment plan is, and gets reminders before and after the due date.
- Your forms and plans: the intake forms and custom plan templates you assign appear in her app to fill in, and you're notified when she does.
- Your care: your care plan and the goals you set together, summaries of each visit (what you covered, what you decided, what's next), and any files you share.
- You: a message thread with her and her partner, and an "I need my doula now" button that reaches whoever is on call.
It flows back to you, too. You're notified when she fills in a form, updates her birth plan, or finishes a goal, or when she has a hard day, and you see the check-in trends she chooses to share. Instead of chasing signatures, payments, and paperwork by email, you work in one place and she sees it in hers.
For her, the app is a full prenatal-to-postpartum companion in its own right: a six-question daily check-in, birth and postpartum planning, a way to coordinate her support village (meals, errands, groceries), and Premium guides, all free while she's your client. Her partner gets their own account.
Clients who'd rather not install anything can still be run entirely over email: contracts, invoices, forms, and shared files all work by link.
For your practice
- Client pipeline: clients move from Inquiry to Prenatal, Due Soon, Postpartum, and Graduated automatically as contracts are signed, visits are booked, and dates pass. You can move them yourself, too.
- Scheduling: weekly availability, appointment types, and two-way sync with Google Calendar or Outlook, so client bookings respect the busy times on your own calendar.
- Contracts: email your contract and your client signs on any device, no account needed.
- Invoicing: invoices, packages, and deposits, plus payment plans that charge a saved card weekly, every two weeks, or monthly. If a card is declined, Cradled retries twice, then pauses the plan and lets you know. E-transfer, cash, and cheque payments can be tracked too, and refunds can go through Stripe or be recorded manually.
- Forms and plans: intake forms and birth and postpartum plan templates, with a notification when your client fills one in.
- Messaging and boundaries: one thread with your client and her partner, on-call dates per client, and quiet hours with an auto-reply. When labor starts, her messages arrive as critical alerts that can break through silent mode and Do Not Disturb on iOS and Android, once you allow them.
- The money side: expenses, mileage, and CSV exports of invoices, refunds, expenses, and mileage for your bookkeeper.
For collectives and agencies
Turn your account into a collective, name it, and you're the owner. Choose Collective mode, where each doula keeps her full toolkit and her own client book, or Agency mode, where doulas get a focused view of their assigned clients and schedule while the agency handles the business side. Add doulas by email, including ones who have never used Cradled. Then:
- A team client board: every client shared with the collective, with their doula, stage, due date, and whether they're prenatal or postpartum. Reassign clients between doulas.
- An intake link and leads board: inquiries come to one place, and you assign each to a doula.
- Your standard of care, tracked: your client flow as a checklist across every client, ticked off as each doula completes a step.
- Coverage with escalation: each doula names her backup and can hand off with "cover for me" (rest of today, overnight, or 24 hours) and a note. A client's urgent message goes to whoever is on call, repeats every two minutes, and moves to the backup and then the owner if no one answers within five. Doulas without a backup are flagged.
- Postpartum care teams: build a team of doulas around a family and schedule overnight shifts.
- Team schedule and payouts: book appointments for your doulas, set pay rates, and run payouts with statements each doula can see.
- Team reports: births, average labor length, and prenatal visit time across the collective (for clients who share their data), how consistently your care steps are followed, and each doula's hours, revenue, payouts, and margin.
- Central billing, if you want it: saved cards and payment plans can collect to the owner's Stripe account instead of each doula's.
Pricing and fit
Pricing: Free forever for 1 active client at a time, with every solo feature. When a client graduates, archive her and the spot opens up for your next one, so a new doula working with one client at a time can run her practice on the free plan. Demo clients don't count. The Founding plan is $14.99 CAD/mo for unlimited clients, locked for as long as you stay subscribed (available to the first 100 subscribers). Collective plans are quoted for your team's size and start with a 14-day free trial, no card needed. Cradled takes 0% of client payments. Stripe's standard processing fee is the only deduction.
Not a fit if:
- You're outside Canada and need to take card payments through Cradled right away. Online payments currently need a Canadian Stripe account. US support is in progress.
- You bill insurance or Medicaid, or need a HIPAA business associate agreement. Cradled doesn't handle claims and isn't a HIPAA business associate.

Doulado
Best for: doulas and agencies who bill Medicaid or private insurance.
Doulado is practice management software made specifically for doulas. It covers scheduling, client messaging, contract and intake templates, invoicing, client booking pages, lead forms, video appointments, and team management.
Its standout feature is claims. On the HIPAA Premium plan, Doulado can submit claims to over 6,000 payers, check eligibility, and receive remittance advice, so you can bill Medicaid and private insurance for doula care. If insurance is a meaningful part of your income, this is the tool to look at first.
Pricing: Starter is $19/mo. HIPAA Premium, which includes claims, is $29/mo, plus per-claim fees for submission, remittance, and eligibility checks. Annual plans include two months free. Larger agencies can get custom pricing.
HoneyBook
Best for: doulas who want a polished, general-purpose client portal and don't need doula-specific scheduling.
HoneyBook is a client-management platform for creative and service businesses. It's mature and well-designed, with proposals, contracts, invoices, payments, a client portal, and templates on every plan.
The trade-off is that it isn't built around birth work. There are no on-call windows, labor alerts, or overnight shift scheduling, and birth and postpartum plans are built from its general questionnaires (HoneyBook does offer a doula template kit). The scheduler and automations aren't on the entry plan; they start on Essentials.
Pricing: Starter is $29/mo, Essentials $49/mo, and Premium $109/mo, billed yearly ($29, $59, and $129 month to month). Card payments are 2.9% + 25¢ when the client enters her card, and 3.4% + 9¢ for saved-card and autopay payments; bank transfers are 1.5% (HoneyBook's published rates, December 2025). There's a 30-day free trial.

Dubsado
Best for: doulas who like building their own detailed workflows and automations.
Dubsado is known for customization. You can build multi-step workflows that send forms, contracts, and invoices automatically as a client moves along. Both plans include unlimited clients, invoicing, templates, client portals, and calendar sync.
The catch is setup time, and the features doulas most want sit on the higher plan. The Starter plan has no scheduling, no automated workflows, and only one lead capture form.
Pricing: Starter is $335/yr and Premier, which adds scheduling and workflows, is $525/yr. There's a 21-day free trial with full Premier access.
The DIY stack
Best for: doulas who already have a system they like and only need to fill a gap.
Plenty of doulas run their first year on free tools: Google Calendar, a contract template in Google Docs with a free e-signature tool, Stripe or Square for invoices, and a spreadsheet for leads.
It works, and it's cheap. It stops working when information lives in four places. You end up re-typing the same client details, chasing signatures by email, and remembering by hand which family owes their next installment. Most doulas move off a DIY stack when the time spent on admin starts to rival the time spent with clients.
How to choose
- You bill insurance or Medicaid: start with Doulado.
- You want doula-specific tools and a way to support clients between visits: try Cradled. It's free for your first client.
- You run a doula collective or agency: Cradled, for the team client board, coverage with automatic escalation, care teams, and payouts. If you bill insurance, compare it with Doulado's team features.
- You want a general client portal and don't mind adapting it: HoneyBook.
- You love building custom automations: Dubsado Premier.
- You're a new doula with one client at a time: Cradled's free plan covers your whole practice at no cost, and you won't have to switch tools as you grow.
- You already have free tools that work for you: a DIY stack is fine for now. Revisit it when admin starts eating your evenings.
Whatever you pick, give it a real test: run one client through the whole thing, from inquiry to signed contract to the final payment. That one client will tell you more than any comparison page, including this one.
